POSITION DESCRIPTION

 

 

The Herbert Wertheim College of Medicine is currently seeking a Program Specialist to join our team of professionals.

 

Duties Include:

  •  Provides administrative support for the Albert and Debbie Tano Medical Simulation Center and Clinical Skills courses by confirming faculty sessions, IT needs, and preparing agendas, meeting notices, materials, and other relevant information. Works with the clinical skills coordinator to complete projects and troubleshoot issues.
  • Provides support for the Albert and Debbie Tano Medical Simulation Center in set up and breakdown of simulation sessions and preparation of necessary materials and logistics. Supports the leadership team with assigned relevant tasks and programs including tours, simulations, virtual sessions and other special events hosted by the department.
  • Assists in developing and updating course materials. Prepares and maintains picture sheets, door signs, and faculty folders. Collects and sorts all event signs, supplies and materials.
  • Coordinates, gathers, and submits completed evaluations and assignments for the Simulation Center and clinical skills courses.
  • Assists with data entry including tracking the remediation of student absences, assignment deficiencies, and/or other student issues. Assists with CANVAS page updates and announcements. Assists with E-Value and other tasks as assigned by the Clinical Skills coordinator pertaining to the course.
  • Supports the implementation of Objective Structured Clinical Examinations (OSCE).
  • Communicates with and responds to student and faculty inquiries, as needed.
  • Prepares and submits documents for travel authorizations.
  • Organizes and maintains confidential files, databases, and records for Clinical Skills and the Simulation Center.
  • Maintains inventory of office supplies and restocks necessary equipment, as needed. Assists ordering course materials, books, office supplies and catering request.
  • Performs essential duties in any emergencies such as hurricanes, public health emergencies, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.
  • Performs related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

 

MINIMUM QUALIFICATIONS

  • High school diploma or GED and six (6) years of office or related experience coordinating functions of an office or department.
