Position Overview
The Arts and Recruitment Outreach Coordinator serves a crucial role between two collaborative teams in the College of Liberal Arts & Sciences. Projects and tasks will involve communications, event planning and general administrative support for School of the Arts and student recruitment projects.
The outreach coordinator will work closely with the Assistant Director of Communications & Recruitment in coordinating the day-to-day communications and promotional efforts for the School of the Arts, including social media, website management, public relations activities, e-newsletters, event planning and marketing, and student engagement opportunities. The School of the Arts comprises three departments: Film & Media Studies, Theatre & Dance, and Visual Art.
This position will also support the Director of College Outreach & Online Programs in coordinating, planning and executing recruitment and outreach events and providing communications and customer service assistance to the College Online team.
Job Description
1. Student Engagement (40%)
- Work with School of the Arts leaders to schedule and run Student Advisory Board meetings, recruit members, liaise with other departments.
- Administrate the School of the Arts Travel Fund and Arts Research Project Grants including sending reminders, reviewing applications, sending correspondence, budget tracking, and working with assigned School of the Arts co-director for final approvals.
- Create and disseminate newsletters for students, faculty, staff and alumni.
- Coordinate, plan and manage outreach events such as Crimson & Blue Day, HawkWeek Academic Welcome, and other recruitment events.
- Schedule, plan and execute School of the Arts Convocation Ceremony and Stop Day luncheons.
- Provide event support as needed for the School of the Arts Outreach Coordinator.
- Promote departmental events through news releases, fliers, social media events, etc. as needed.
- Serve as communications support for College Online.
- Generate content, schedule, and engage on the School of the Arts social channels: Facebook, Twitter, Instagram. Content may consist of student takeovers, student, alumni, faculty and staff profiles, videos, department events, etc.
- Schedule School of the Arts meetings as needed for co-directors and staff.

- Basic website maintenance – update dates and deadlines, add news stories, submit events to KU calendar, and update people pages as needed.
- Answer phones for College Outreach & Online Programs.
- Order, track and distribute promotional items.
- Other duties as assigned.
Required Qualifications
- Bachelor’s degree in Arts, Journalism, Communications, Marketing, English or equivalent.
- At least one year of work experience in a related position such as public relations; advertising; event planning; social media; editing; magazine, promotional or news production; and/or digital or print media production as evidenced by application materials.
- Experience managing social media accounts or profiles as evidenced by work history and application materials.
- Experience in planning events as evidenced by work history and application materials.
- Demonstrated excellent verbal and interpersonal communications skills, as evidenced by letter of application and information from references.
- Demonstrated strong computer skills, preferably with experience with Microsoft Office, Adobe design, e-mail and internet for writing, research and correspondence.
Preferred Qualifications
- Evidence of strong writing skills.
- Involvement or interest in the arts.
- Experience at managing multiple detail-oriented projects or tight deadlines.
- Demonstrated ability to establish excellent working relationships with a variety of audiences.
- Experience writing and maintaining information on a website.
- Experience at working with the media and members of the press.
- Familiarity with the University of Kansas, the School of the Arts, and/or area media outlets.
- Experience shooting and editing photo and video.
